Refund Policy

At USA Web Coders, we are committed to delivering professional, high-quality digital services and ensuring our clients are satisfied with the work we produce. This Refund Policy outlines the conditions under which refunds may be issued for our web design, development, SEO, digital marketing, and graphic design services.

Please read this policy carefully before engaging our services. By placing an order or making a payment, you agree to the terms outlined below.

1. General Refund Philosophy

Because our services involve significant time, skilled labor, and resources, we handle refunds on a case-by-case basis with fairness as our guiding principle. We will always work with you to resolve any dissatisfaction before processing a refund. If you are unhappy with any aspect of our work, please contact us at info@usawebcoders.net before requesting a chargeback or dispute.

2. Project-Based Services (Web Design, Development, Graphic Design)

Before Work Begins (Pre-Production):
If you cancel your project before we have begun any work, you are entitled to a full refund of your deposit, minus a 5% processing fee charged by our payment processor (Stripe).

During Active Development (In-Progress):
If you cancel your project after work has begun, a refund will be calculated based on the percentage of work completed at the time of cancellation. Work completed is assessed fairly and transparently.

  • 0–25% complete: 75% of deposit refunded
  • 26–50% complete: 50% of deposit refunded
  • 51–75% complete: 25% of deposit refunded
  • 76–100% complete: No refund applicable

After Project Completion & Delivery:
Once the final project has been delivered and approved (or deemed accepted per our Terms & Conditions), no refund will be issued. If you have concerns about the final deliverable, please raise them during the revision phase before approving the project.

3. Monthly Services (SEO, Digital Marketing)

Monthly service plans are billed in advance at the beginning of each billing cycle.

  • If you cancel within the first 7 days of a new billing cycle and no significant work has been started for that month, you may request a prorated refund for the unused portion.
  • After 7 days of a billing cycle, no refund will be issued for that month's payment, as work will have already been initiated.
  • To cancel a monthly plan, 30 days written notice is required at info@usawebcoders.net. You will not be charged after the cancellation takes effect.

4. Logo & Graphic Design Services

  • If you cancel before we have sent your first design concepts, a full refund minus the 5% processing fee will be issued.
  • If initial concepts have been presented, 50% of the payment is non-refundable as it covers the creative work already performed.
  • Once final files have been delivered, no refund is available.

5. Non-Refundable Items

The following are non-refundable under any circumstances:

  • Domain name registrations (purchased on your behalf)
  • Third-party software licenses, plugins, or theme purchases
  • Advertising spend (Google Ads, Meta Ads) — these are paid directly to the ad platforms
  • Rush fees or expedited delivery charges
  • Stripe or payment processing fees (5% of total transaction)

6. Dispute Resolution

We strongly encourage clients to contact us directly before initiating a chargeback or payment dispute with their bank or card issuer. Most concerns can be resolved quickly and fairly through direct communication.

Initiating a chargeback without first contacting us may result in suspension of services and referral to collections for any outstanding balances owed. We reserve the right to dispute chargebacks that we believe are fraudulent or unwarranted.

7. How to Request a Refund

To request a refund, please send an email to info@usawebcoders.net with the subject line "Refund Request" and include:

  • Your full name and business name
  • The service you purchased
  • The date of purchase
  • The reason for your refund request

We will review your request and respond within 3 business days. Approved refunds are processed back to your original payment method within 5–10 business days, depending on your bank or card issuer.

8. Satisfaction Guarantee

We stand behind the quality of our work. If you are not satisfied with a deliverable, we will work with you through our revision process to address your concerns before considering a refund. Our goal is always to leave our clients 100% happy with the outcome.
